Staffing a major sporting event: zones, schedules and cover

At a major sporting event, staff are spread across many points at once, on schedules set by the competition.

Split by zone and role

Entrances and ticket control, public information, sponsor areas, hospitality and boxes, press. Each zone needs its own supervisor and a headcount planned for its own peak times, which are not the same everywhere.

Schedules set by the competition

The team must be in place before the gates open and stay until the venue has emptied. A delay, extra time or a ceremony that overruns changes the shifts. Stagger breaks so that no point is left empty at the busiest moment.

Accreditation and safety

Named accreditation usually has to be requested in advance, so get your team’s details early. Before starting, everyone should know where the emergency exits are and how to report an incident.

Languages

At international competitions, information points, guest entrances and hospitality need people who speak the audience’s language fluently.

Cover and no-shows

With large teams, someone will eventually drop out, and you need to find out in time and have someone to call. At A10 everyone clocks in on arrival with the app, which checks their location; if someone does not turn up, your account executive calls a reserve from the area and the replacement is logged.

If you are organising or sponsoring a sporting event, tell us the dates, the venue and the zones to cover.
